How many Lotus Notes users do I have to license?

Darren Duke  August 23 2012 11:59:10 AM
Yep, been asked this quite a bit lately.....

Well, Domino has a function built in but is not turned on that will answer this very question. Not surprisingly called "License Tracking" is a task that runs on the server and outputs a rolling 30 day count of Lotus Notes, HTTP, IMAP and POP3 users that have access the system.

Once license tracking is enabled a new database (UserLicenses.nsf) is created on your administration server and over the next few days or weeks you will start to see this get populated as users authenticate with the Domino servers in your environment.

One of the cool things about using the in-built tracking tool is that users deleted from the Domino Directory are removed from user tracking too.

To enable it, edit the server configuration settings document and change the field "License Tracking" to enabled:

Here is a userlicences.nsf  showing the number of currently active users:

So in this case the number of user licenses required is 14. Simple eh?

I do wish IBM would license Lotus Notes this way. Unfortunately they don't

If you have several persons sharing a notes client such as reception, shift workers etc, you need one license per physical person that might have access to the lotus client. You could have an office with 10 notes clients installed, If 50 people are working there, and they all at some time might have access to the client - you need 50 licenses.,

If a single user has several mail accounts, only the user is licensed. But yes, you are correct, a license is required for each individual person using a given ID file.

And what if you dont have any notes id's, except you admin id? and what if you use your Domino server to have it accessed by email clients running POP or IMAP?(Outlook, iphone, Android, etc?)

Do you need to pay for each smtp person record that is establishing connection to the server?

Thanks for the help

Eduardo

Then you need to have a least a messaging CAL license. Every *real* mail user needs a *real* CAL regardless of the protocol used.

Yes this is indeed very useful, I wonder if this will detect users who only ever use Blackberry devices and never log into a Notes client or even iNotes?

Hi,

pls could you help me. We have set authentication for iNotes and other web services toward MS AD. In licenses tracking db I can see for some accounts 2 records for same user.

When it happens? When this AD record is created?

Here you are these records:

User # days Protocol Last Access Last Modified Total Users Non-LDAP Users

CN=Ivana Liscinska/OU=xxx/DC=xxx/DC=xxx 2 HTTP 05.12.2012 05.12.2012 00:40:30:95

Ivana Liscinska/xxx/xxx 2 HTTP 05.12.2012 05.12.2012 00:40:32:16

Darren,

I have a Domino Utility server which supports my client base via browser. If clients get the browser plugin are they licensed for it or do I need additional Notes client licenses?

Bob

@Bob, right now we don't really know......but if I was to guess any licensee with a Notes Collaboration license (ie, any expect mail only) *should* be licensed for the plug-in.

We'll know more either at release time or at Connect 2013.

@Bob, check out slide 41 on Ed's blog for potential licensing options:

I am using the License Tracking. I show that there is alot less in the UserLicense database than what shows in the License view in the Address book. I have been tracking for a year now. Which number is correct?

@10, I'd always go from License Tracking. That database shows active users, which is what you are required to license.

Hi, We have, 400 User Licens with client, and we use the sametime integrated, This client has a cost?? I think, NO, but could yuo any idea about this ??, and this same user access via WEB, from outside, this is another License, or is the same that the client???.

Thanks for all.

Sametime embedded is included with all Notes client licenses (if that's the question). Also, if User Bob has a Notes license then User Bob also has a web license too (again, I think that is the question).

So for a given user (in this case User Bob), one license is all that is needed for him to access Domino via Notes and/or the web and/or use Sametime Embedded.
